ESSENTIAL DUTIES AND RESPONSIBILITIES:

Safety
• Understand and adhere to all applicable safety procedures and policies, including (but not limited to) SDS and hazardous spill containment and control
• Complete all required safety training successfully and on time.

Housekeeping
• Monitor office area to ensure it remains clean and organized.
• Maintain neatness of work area, as well as printer, fax and copier area.
• Maintain personal work areas in a clean and sanitary manner.

Technical
• This position has no technical responsibilities.

Quality Assurance
• Maintain knowledge of Company QMS and Quality Policy, Statement and Objectives.

Client Focus
• Answer incoming phone calls and provide information to callers or route callers to appropriate individual.
• Assist Client Services with client emails as needed.
• Prepare and transmit State of Wisconsin water reports.
• Sort and route incoming mail.
• Envelope and mail reports to clients.
• Maintain neatness of office, vestibule, and break room.
• Welcome visitors pleasantly; ensure they sign in, ascertain nature of their business and ensure visitors are escorted by appropriate employee(s).
• Present a professional and welcoming experience for all visitors and callers.
• Provide results to clients (verbal, email, paper or fax).
• Respond to client inquiries on a timely basis and act as liaison between client and management and/or laboratory.
• Schedule RUSH testing with Laboratory Supervisor and/or Laboratory Director.
• Arrange retesting of previously performed tests.
• Confirm turn-around time on tests with Laboratory Supervisor and/or Laboratory Director.
• Contact clients with any problems or questions regarding their samples or test results.
• Maintain client databases (Goldmine and Labworks).
• Work with IT to resolve computer issues.
• Scan documents for storage on the network.
• Check in supplies as they arrive and document on the ISO Goods and Services Verification Log.
• Ship packages to clients, vendors, etc 
• Serve as backup for creating purchasing requests.
• Send Sample Acknowledgement receipts to clients on a daily basis.
• Set up transfer paperwork for client analysis request forms.

Supervisory
• This position has no supervisory responsibilities.

Administrative
• Sort and route incoming mail.
• Envelope and mail results.
• Update and print courier route sheets daily.
• Advise drivers of pick-up schedule changes.
• Direct deliveries to appropriate personnel.
• Create shipping labels for outgoing packages and make pick up calls to shipping carriers.
• Create and maintain Word and Excel documents.
• Make copies of correspondence or other printed matter.
• Prepare outgoing mail.
• Prepare outgoing packages for shipping.
• Empty recyclables and shred papers as needed.
• Maintain neatness of office, vestibule, and break room.
• Compile and create purchasing requests from lab inventories and forward to Laboratory Director.
• Log, copy and forward packing slips accordingly.
• Log, copy and forward approved invoices accordingly.
• Verify weekly UPS bills.
• Perform additional duties as assigned.
• Serve as designee for all Administrative Assistant responsibilities.

DRESS CODE:
As the first person visitors and staff see when entering the building, this position is the first representation for the Company and must dress in a business casual manner. Low cut shirts, tank tops, t-shirts with wording or advertisements, jogging outfits or sweats, mini skirts or short dresses, belly-showing or back-bearing outfits, shorts, torn or worn out jeans, and flip flops should not be worn.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
High school diploma, 1 - 3 years office experience. Strong user knowledge of Microsoft Word, Excel and Outlook.

LANGUAGE SKILLS:
Must speak and write English clearly and fluently.

MATHEMATICAL SKILLS:
Basic skills (addition, subtraction, multiplication and division); able to locate resources quickly.

OTHER SKILLS:
Positive, pleasant, polite, mature, trustworthy, reliable, and flexible. Able to operation a multi-line telephone.
