Job Description

  • Answer, screen, and effectively transfer calls to appropriate individuals, using proper judgment and problem-solving skills. 
  • Open, read, route, and distribute incoming mail or other materials and answer routine letters. 
  • Assist with setting up new hires (preparing desk, ordering business cards, etc.) 
  • Maintain Conference Room Calendar. 
  • Main point of contact for employee service calls, requests and issues. 
  • Point of contact for all visiting members or staff; responsible for advising IT/Security of visitors needs before arrival and arranging seating requirements.
  • Monitor, order and maintain office/kitchen supplies inventory. 
  • Keep up-to-date with personnel contact lists/phone numbers. 
  • Provide administrative support including, but not limited to: 
  • receiving and directing visitors, receiving deliveries and forwarding or stocking as appropriate; filing, scanning/faxing, printing emails, creating spreadsheets, documents and presentations 
  • Coordinate conferences, meetings, or special events, such as luncheons or holiday parties. 
  • Receive and verify administrative invoices, requisitions. 
  • Maintain badge system for employees, visitors and contractors. 
  • Verify that transactions comply with financial policies and procedures. 
  • Enter batches of administrative invoices, processes invoices for payment, and files paid invoices. 
  • Respond to inquiries from vendors and company personnel. 
  • Other duties as assigned.
