Job Description

Seeking Receptionist:


  1. Greet and welcome visitors to the Offices between 8.00am and 5pm, ensuring they sign into the visitor’s book, and informing the relevant member of staff of their arrival.
  2. Assign visitor badges and track as needed.
  3. Maintain historical logbooks of visitors signing in and out of the building.
  4. In the event of a fire and/or any other emergency requiring staff to leave the building, ensure the visitor’s logbook is removed from Reception and taken to the outside meeting point.
  5. Monitor and ensure that the reception area is kept tidy, and projects/work are organized and maintain a business-like appearance.

Telephone System:

  1. Operate switchboard from 8.00am – 5pm; receiving and transferring telephone calls, taking brief messages as needed and passing these on via the email system or connecting callers to staff members personal direct line voicemail.
  2. Ensure all voicemail messages to main office number are taken and directed to staff members. Maintain and ensure that the answer message is appropriate.
  3. Report telephone equipment and line faults to the IT Manager.
  4. Review and update on a regular basis the staff contact and telephone extension lists.

Office Services:

  1. Process and deliver internal and external mail daily.
  2. Ensure that postage machine is replenished with postage as needed and maintained.
  3. Liaison for facility needs (ie…water/coffee service, janitorial needs, vending, etc…)
  4. Maintain simple spreadsheets and tracking files

Meetings and Events management:

  1. Provide logistical support for meetings held in the conference rooms, to include preparation of meeting and conference rooms (paper, pens, etc…)
  2. Keep conference rooms stocked with supplies (drinks, paper products, etc…)
  3. Order lunches/Refreshments for visitors/meetings


  1. Administrative duties for Management staff (expense report preparation and coding, travel arrangements, etc…)
  2. Other duties may be assigned to support the operations of the company
  3. May infrequently require working overtime to meet the facility needs
